Assistant City Clerk
As the Assistant City Clerk, you will serve as a key liaison for visitors to City Hall, elected officials, and staff, as well as play a crucial support role, handling a wide variety of tasks. You must provide excellent customer service and ensure smooth daily operations at the City Hall front desk.

- Working with the Microsoft 365 Suite and using spreadsheets on a regular basis.
Your work responsibilities may include:
- Serving as the first point of contact for visitors and callers to the City Hall front counter.
- Providing executive support to the Mayor, City Administrator, and City Clerk’s Office.
- Assisting in the coordination of all aspects of Governing Body meetings, including agenda preparation, packet compilation, follow-up documentation from meetings, and permanent record retention.
- Assisting in the management and maintenance of City records in accordance with the Leawood Municipal Code.
- Providing administrative support for Governing Body meetings. Responsibilities include managing catering coordination, food service arrangements and taking official minutes of City Governing Body meetings and work sessions, and coordinating final approval.
- Assisting with coordinating responses to open records requests in compliance with the Kansas Open Records Act, including communication with departments and legal counsel as necessary.
- Applying for and tracking Sales Tax Project Exemptions with the State of Kansas.
- Assisting with filing statutory bonds with the Clerk of the District Court of Johnson County and recording deeds, easements, and other documents with the Johnson County Register of Deeds.
- Assisting in the election process and provide information on elections.
- Assisting with special projects and events for the Mayor, City Administrator, and City Clerk.
- Providing administrative support to the Leawood Foundation.
- Coordinating front desk operations of City Hall, including but not limited to coordinating incoming/outgoing mail and deliveries, and maintaining office supplies for the Administrative Offices, and the main break room.
The general hours of the position are 8:00 a.m. to 5:00 p.m. Monday through Friday. Occasional evening hours are required to assist with setting up for City Administrative and Governing Body meetings.
Preferred Requirements: Currently holds a Notary Public certification. Experience as an Assistant/Deputy City Clerk or in a municipal government structure. Certified Municipal Clerk (CMC) designation or ability to achieve within five (5) years of hire.
Minimum Requirements: Minimum of five (5) years of administrative experience or equivalent experience. Education may substitute for the experience requirement. Must be or have the ability to become a Kansas Notary Public.
